From paper logbooks to real-time OEE: digitising production records
A step-by-step guide for Malaysian factories moving from paper logbooks and spreadsheets to digital records and real-time OEE, without disrupting the line.
Walk through many Malaysian factories and you will still find clipboards at every machine. Operators record start and stop times, batch numbers, temperatures and reasons for downtime by hand. Once a week, or once a month, someone types it into a spreadsheet.
Paper works, but it has a cost. Data arrives late, gets lost or is hard to read, and nobody can see losses while there is still time to act. Going digital does not have to be a big project. Here is a practical path.
Step 1: decide what really matters
Don't digitise every field on the form. Start with what you need for OEE and quality:
- Batch or order number, product and line
- Start, stop and changeover times
- Downtime reasons from a fixed list
- Output quantity, scrap and rework
- Key process settings and the QC result
Step 2: standardise before you digitise
Agree on short, fixed lists for downtime reasons and scrap causes. "Machine problem" is not useful; "die heater fault" is. A good list has 10 to 20 reasons, not 100.
Step 3: make entry quicker than paper
Operators adopt tools that save them time. A phone or tablet form with drop-downs, defaults and barcode scanning is faster than writing. If a field takes longer to fill digitally, simplify it.
Step 4: bring in your history
Years of spreadsheets are valuable. Import them using a fixed template so you have a baseline from day one. That history is also what predictive quality models learn from.
Step 5: show results the same day
The fastest way to win support is to show people what their data means. Put yesterday's OEE, top losses and scrap in ringgit on a screen in the production office. When operators see their entries turn into decisions, data quality improves on its own.
Step 6: connect systems over time
Once the basics work, connect ERP orders, machine exports and supplier data through an API so fewer fields need typing at all. See data engineering and integration.
Avoid these traps
- Buying hardware before you know what data you need
- Running paper and digital in parallel for months
- Designing forms without operators in the room
- Collecting data nobody reviews
How RiseHill helps
DMIS lets operators log production from a phone, tablet or Excel upload, then turns the records into OEE, loss analysis and AI recommendations. Request a demo or read our guide on improving OEE in any plant.
